Caeloryn provides Grocery POS, Pharmacy POS and related Windows apps and web services. These Terms explain how you may use them. Contact us at support@caeloryn.net.
1. Your account and business
The services are tools for operating a business. If you act for a shop or another organization, you must have authority to accept these Terms for it.
Sign in with Google or your email and password. If you forget your password, you can reset it using a six-digit code sent to your email. You may enable two-step sign-in with an authenticator app. Keep your devices and sign-in methods secure. Tell us if you suspect unauthorized access. You are responsible for the staff access you authorize.
2. Shops, products and computers
Each product has a separate subscription. A Pharmacy POS subscription does not include Grocery POS, and a Grocery POS subscription does not include Pharmacy POS.
A subscription covers one shop using one product. One computer can be activated for each shop licence. You may open as many application windows as you need on that computer. Staff, manager and accountant logins are free; adding a team member does not increase the subscription price. Another shop or another product needs its own subscription.
To move a licence to another computer, use the one-time code sent to the account email or ask Caeloryn to approve the move. Unused computer registrations are released after 30 days of inactivity. Removing a computer releases its activation; it does not cancel your subscription or remotely erase local records.
Restaurant POS is coming later. It is not available to purchase or start a trial unless its product page says it has launched.
3. Your 30-day trial
You can try a product for 30 days without a card or payment agreement. Starting a trial does not authorize a charge. You do not owe a subscription payment just because the trial ends.
If you choose a paid subscription during the trial, we show the first payment date, amount and renewal terms before you approve it. The paid period starts after your trial ends. You can cancel the scheduled subscription before that first payment.
4. Prices and renewal
Grocery POS and Pharmacy POS each cost $30 per shop per month or $250 per shop per year, in USD. Annual billing saves $110 per shop compared with twelve monthly payments.
Subscriptions renew automatically at the interval you approve unless you cancel before renewal. The checkout shows your shop, product, total, any applicable taxes, billing interval and next payment date. Promotions apply only on the terms shown with the offer, including its duration and the price after it ends.
Payment is processed by PayPal. Select Pay with PayPal to approve payment. PayPal's own payment terms also apply. Your payment provider may apply conversion or other fees; these are separate from our USD price.
We show material price changes before they apply to a future billing period and obtain any authorization required for the changed payment. A new catalog price does not change the price of time you have already paid for. You may cancel instead of renewing at a changed price.
We send a reminder before an annual renewal and before the first payment for a subscription arranged during a trial.
5. Changes, credits and proration
Before you confirm a change, we show its effective date, the credit for unused paid time, the amount payable now and the next renewal amount and date. Credits reflect what you actually paid for the unused time, including applicable discounts. We do not credit unpaid time.
Changing from monthly to annual starts the annual period on the confirmed change date. Credit for the unused paid part of the month reduces the annual charge. For example, if $22.50 of paid monthly time remains unused, the $250 annual charge becomes $227.50 today. Your actual credit depends on your paid period.
Adding a shop during a paid period is charged for the rest of that period, in proportion to the time left. Removing a shop or moving to a smaller plan takes effect at your next renewal; the current period is not refunded. Staff changes do not create a charge.
Credit only reduces the amount payable for the change it belongs to. It is not stored for later, moved to another subscription or paid out. A promotion never takes a charge below $0.
We calculate these adjustments automatically. You may still need to approve the payment or a revised agreement at PayPal. An unapproved or unsuccessful change does not silently replace your existing subscription. A billing credit is never a cash refund. See our Refund & Cancellation Policy.
6. Seven-day grace and read-only access
After your trial ends, you have seven days of grace. A failed renewal payment also gives you seven days of grace from the first failed payment for that renewal. Further attempts for the same renewal do not restart the grace period.
After grace ends, the product becomes read-only: you can read reports, export your data and collect existing debts, but cannot start new sales. A sale already in progress can finish. When an authorized payment is confirmed and restores paid access, the product becomes active again after it receives the updated licence status.
Cloud functions and licence verification need an internet connection. Local selling works offline within the licence validity supplied to the app. Being offline does not create extra trial or payment grace.
7. Cancellation
Cancel any product subscription online from your account at any time. Cancellation stops future renewals. You keep paid access until the end of the period already paid for. At that point the product becomes read-only. Cancelling one product does not cancel another.
Cancellation and deletion are different. Cancellation does not remove your locally stored shop records. Cloud backups are deleted 90 days after the shop enters read-only mode. We email you before that deletion so you can export your records or restore a subscription. Do not rely on those emails as your only backup reminder. You can request account deletion from your account. It remains recoverable for 30 days. After that recovery period, the account and its data are deleted, except records that must be retained for a legal obligation or a specific dispute. The confirmation explains how active subscriptions will be handled; check it before confirming. Account deletion can remove cloud backups earlier than the 90-day read-only deadline. Export what you need first.
8. Your data and responsibilities
Your shop records remain yours. You are responsible for their accuracy, lawful collection, staff permissions and your own backups. Where we store or process your shop's customer information on your instructions, you act as controller and Caeloryn acts as processor. Our privacy notice describes the data flows; any applicable data-processing agreement also governs that work.
The products help run a shop. They do not replace professional accounting, tax, legal or clinical judgment. Pharmacy POS is not a prescribing or clinical decision system. Do not enter patient clinical records into features that are not designed for them.
Do not misuse the service, access another shop's information, distribute malicious software, defeat access limits or resell access without permission. Nothing here restricts rights that applicable law does not allow us to restrict.
9. Availability and service restrictions
We maintain the services with reasonable care. We do not promise uninterrupted availability. Internet, hardware, power and third-party outages can affect operation. Keep backups you control and check that your equipment supports the product.
We may restrict access where reasonably necessary to address security threats, serious misuse or a legal requirement. Where appropriate, we explain the reason and how to resolve it. Ordinary trial expiry and failed renewal follow the grace and read-only rules above. No provision excludes rights or liability that cannot lawfully be excluded.
10. Emails, updates, questions and disputes
The signup option “Send me offers — subscribers hear about discounts first” is unticked by default. Choosing it is optional. You can unsubscribe from offers at any time. Necessary security, billing, recovery and data-deletion notices are separate from offers. Automated messages may come from a no-reply address; for a reply, contact support@caeloryn.net.
We may update these Terms as the service changes. We notify you of material changes before they take effect. Changes do not retrospectively remove rights or credits already earned. Where a change needs your consent, we ask for it.
