Answers for Grocery POS and Pharmacy POS. Where the two apps work differently, each answer says which app it is about. Can't find it? Email support@caeloryn.net.
Installing on Windows
Download the app from its page or from Downloads on your account page: Grocery POS for Windows or Pharmacy POS for Windows. Both need Windows 10 or 11 (64-bit).
The installers are not yet code-signed, so your browser and Windows each ask once before installing:
- In Chrome, “This file isn't commonly downloaded and it may be dangerous”: choose Keep or Download suspicious file (in Edge, Keep).
- Then Windows SmartScreen says “Windows protected your PC”: select More info, then Run anyway.
Grocery POS: the first time it opens, a short setup asks for the language, your shop's name and currency, your licence key (it starts with BK-; you need internet for this one check) and a manager passcode. It starts with Windows, and closing its window keeps it running in the tray next to the clock. Grocery POS also opens in a web browser, for an iPad, an Android tablet or a touch terminal: the link is under Downloads on your account page.
Pharmacy POS: sign in with your Caeloryn account (the one you use on caeloryn.net), then choose which pharmacy this PC is for.
The free trial
Every app has a 30-day free trial, with no card. Start it at caeloryn.net/signup: create your account, enter the 6-digit code we email you, choose the app and enter your shop's name (for Grocery POS, a phone number too).
Grocery POS: you get a licence key on screen, and we email it to you too. Enter it when the app asks for it.
Pharmacy POS: there is no key to type. Sign in to the app with the same account. If your account has no pharmacy yet, you can also start the trial inside Pharmacy POS: Start a 30-day free trial, then enter the pharmacy's name.
Each account gets one free trial per app.
When the trial ends, Grocery POS keeps selling for up to 7 more days, then stops until you subscribe. Pharmacy POS becomes read-only until you subscribe: you can still look up medicines, sales and reports, but not sell.
Signing in and your account
Sign in at caeloryn.net/signin with Google, or with your email and password. Forgot your password? Reset it with a 6-digit code we email you.
Your account page has:
- Shops: each Grocery POS shop with its licence key (and a Copy button), and whether it is on a free trial or paid until a date.
- Subscription & billing, Downloads and Team.
- Your details, Sign-in & security, Emails and Delete account.
- For a pharmacy, the account holder also sees Backup & recovery key and Computers.
Two-step sign-in: under Sign-in & security, choose to turn it on, scan the QR code with an authenticator app (Google Authenticator, Microsoft Authenticator, 1Password…) and enter the 6-digit code it shows. From then on, your account page and Pharmacy POS ask for a code from the app.
Team: invite a manager or an accountant by email. It's free, for as many people as you need. They see your shops in the owner app, and in Pharmacy POS a manager can also sign in at the till. Only you can change billing, licences and the account.
Owner app: open my.caeloryn.net on your phone and sign in with your Caeloryn account to see each Grocery POS shop's sales, profit and best sellers.
Working offline
Grocery POS keeps selling without internet. Sales are saved on the computer and sync when the connection returns. It checks its licence when it starts: after 3 days without a successful check it shows a warning, and after 7 days it stops with “Subscription renewal needed” until it can check again. Connect, then press Retry.
Pharmacy POS checks your account at least once every 7 days, and shows how many days are left while it can't connect. From the 8th day, selling pauses (“Connect to keep selling”); medicines, reports and Close the day still open. Everything sold offline stays on the PC, and cloud backups catch up once it is back online.
Backups and restoring
Grocery POS: an encrypted cloud backup runs by itself at least once a day, after every 50 sales and when you close the register. In Settings, Back up to cloud now makes one at once and Restore from cloud brings it back. You can also save a file with Export Data (JSON) and load it with Restore from a file; closing the register saves one too. Restoring replaces all the data on that computer, and a safety copy is saved first.
Pharmacy POS: the account holder turns on cloud backup in Settings, signing in again to do it. Backups are encrypted on the PC before upload and only the pharmacy's recovery key opens them. They run every day at 23:00 and after Close the day; Back up now makes one at once. You can also keep a local copy in a folder you choose.
The recovery key (Pharmacy POS): when it appears, print it or save it as a file, then type its last 4 characters to confirm. Keep it somewhere safe: you need it to restore on another PC. Lost it? Settings can show it again on the pharmacy's PC. With account recovery on, the account holder can also choose Recover my key on the account page: two-step sign-in must have been on for at least 48 hours, then you confirm a code we email, and the key is released after a 48-hour wait. Approving the request on the pharmacy's PC releases it at once, if that is the PC that was active when the request was made and it had been registered for at least 48 hours; otherwise the 48-hour wait applies. We never email the key.
Moving to a new computer
Grocery POS: install it on the new computer and enter your licence key in the setup. Then, in Settings, choose Restore from cloud, or Restore from a file with a backup you saved. The Windows app and the browser version keep separate data, so restore into the one you will use.
Pharmacy POS runs on one PC at a time. Before moving, make sure the pharmacy has a cloud backup: on the old PC, in Settings, turn on cloud backup if it is off, save the recovery key, press Back up now under Cloud backup and check that it succeeded. A local backup file alone can’t be restored this way. On the new PC, install, sign in and choose the pharmacy, then Move it to this PC (the account holder or a manager can do this, and we email the account holder). The old PC stops selling the next time it connects; sales it made after its last backup stay on it. Then, in Bring this pharmacy's data to this PC, pick the latest cloud backup, enter the recovery key and type RESTORE.
The account holder can also release a pharmacy PC from Computers on the account page; this signs out every session on the account. A PC that hasn't been seen for 30 days is released by itself.
Printers and barcode scanners
Grocery POS: in Settings, set Receipt paper to an 80 mm roll (the default), a 58 mm roll or A4, and use Preview / test print. The Windows app prints straight to the printer chosen under Receipt printer in its tray menu, or to the Windows default printer. In a browser, the usual print window opens. Receipts print in Arabic with English beside it.
Pharmacy POS: in Settings, under Receipt printing, choose your Receipt printer from the Windows printers, the paper size (58 mm, 80 mm or A4), then Print test page. If a receipt doesn't come out, use Print again.
Barcode scanners: a USB scanner that types the code and presses Enter works in both apps. In Pharmacy POS, a scanner that reads 2D codes can scan the GS1 DataMatrix code on medicine packs: at the till it finds the medicine (the sale still takes the batch that expires first), and in Receive it fills in the batch and expiry date.
Scales and cash drawers are not connected to either app.
Taking payment
Grocery POS: Cash, card, or Credit for a customer who pays later (choose the customer first). You can split one bill between cash and card, but not with credit. Hold a sale and bring it back from Held sales.
Pharmacy POS: Cash, card, or Split: type the card amount and the rest is cash. Next to Exact, two quick-cash buttons offer the notes a customer is likely to hand over. You can also add a discount and hold a sale.
The card button is named after your country's network: K-Net for Kuwaiti dinar, mada for Saudi riyal, and Card for the others. Your card machine stays separate: take the payment on it, then complete the sale.
Currency: Grocery POS sells in KWD, AED or SAR, chosen in the setup. Pharmacy POS sells in KWD, AED, SAR or SYP, chosen in Settings. In both, the currency is locked once the shop records its first sale (in Grocery POS, also its first purchase), so past totals stay right.
Selling prescription medicines
Pharmacy POS: when you add a medicine, choose its prescription class: OTC, Prescription, Controlled or Unclassified.
- OTC medicines sell straight away.
- A Prescription medicine asks for the prescription number, the doctor and the prescription date (not in the future), and for you to confirm you have seen the prescription. A patient name is optional; it is never printed or shown on receipts. It stays in this pharmacy’s own records, which includes its encrypted cloud backup (opened only by its recovery key). The receipt prints the number, doctor and date.
- Controlled and Unclassified medicines are never sold at the till.
Close the day lists the day's prescription sales.
Returns
Grocery POS: in Transactions, scan the receipt's barcode or type its number and press Look up, then Refund this sale. Tick items for a partial refund or refund the whole sale, and choose cash or card. Items sold by weight are refunded whole. Refunding a credit sale first lowers what the customer owes.
Pharmacy POS: in Returns, find the sale by its number, choose what comes back (no more than was sold), give a reason and refund in cash or card; a cash or card sale starts on how it was paid, and a split sale starts on cash, so pick how you actually refund. Returned packs are kept aside in quarantine and never go back on sale.
Closing the day
Grocery POS: press Close Register, count the cash and enter it, check the difference from what was expected, then Close & back up. Finish or clear the current sale first. Closing also clears held sales and saves a backup. Open Register starts the next day with the cash in the drawer. Reports has Print summary for the day's totals.
Pharmacy POS: Close the day shows today's sales, returns, card payments, prescription sales and best sellers, and the cash drawer: opening float, expected cash, what you counted, and whether it matches, is over or is short. Enter the cash you counted and press Close the day to close it; Print report only prints. If cloud backup is on, a backup runs once the day is closed.
Updates
Grocery POS (Windows) checks for updates when it starts and every 3 hours, and downloads them by itself. When one is ready, an Install and restart button appears. It asks you to finish the sale first, then the app closes and opens again by itself. It never installs on its own. The browser version loads the new version the next time the page opens.
Pharmacy POS checks when it starts and downloads updates in the background. It never installs one on its own, and it won't install while a sale has items in it.
Subscription and billing
Each app costs $30 a month or $250 a year per shop, in US dollars, paid with PayPal.
Grocery POS: subscribe on your account page under Subscription & billing, monthly or annual. If you subscribe during the trial, billing starts only when the trial ends. A monthly plan can switch to annual; the unused part of the month comes off.
Pharmacy POS: pay with Renew now in Pharmacy POS, or on the pharmacy's card on your account page. It opens a payment page for that pharmacy: PayPal or card, with no sign-in.
If a payment fails, PayPal tries again and you have 7 days to fix it. After that, until it is paid, Pharmacy POS becomes read-only and Grocery POS stops selling once more than 7 days have passed since it last confirmed a valid licence.
Cancelling: for Grocery POS, choose Cancel subscription under Subscription & billing. You keep the app until the end of the period you paid for, and you won't be charged again. A Pharmacy POS plan can't be cancelled from the account page yet: cancel it in your PayPal account, under automatic payments, or email us.
Payments are non-refundable, except where the law requires a refund or a charge was a duplicate or a mistake. See Refunds & cancellation.

Email support@caeloryn.net. Tell us which app, your shop's name and what you see on the screen. Never send your password, a sign-in code, a card number or your recovery key.
